An AI usage policy at an agency

Problem
At a 32-person ad agency, design and copy teams have folded AI tools into daily work. A client asked whether their brand data goes into AI tools, and the agency has no clear answer.
Your task: a usage policy that is workable, auditable and does not slow the team down.
Background
The agency has NDAs with four clients. Three tool subscriptions were bought on personal accounts. Management believes a ban would not work.
Constraints
- The policy must fit two pages and need no training.
- Rules rather than bans.
- It must be explainable to the client.
Expected solution
